Reservations and Payments
How do I book my room and pay the deposit?
All bookings are handled through the CloudBeds secure database. You will see real-time availability and pricing. A non-refundable deposit equal to 10% of your total stay is required at the time of booking to reserve your spot.
What is the payment schedule for the remaining balance?
50% of your remaining housing fee must be paid prior to your move-in date. The final remaining balance is due by June 22, 2026.
What documents do I need to provide after booking?
Within 24 hours of booking, you must submit proof of payment (if not paid by credit card), a government-issued I.D., and proof of your internship. You will receive an email with instructions on how to upload these using your Reservation ID.
Requirements and Policies
Can I check in early or stay late?
Stays must fall between May 22, 2026, and August 08, 2026. If your internship falls outside these dates, you will need to arrange off-campus housing for those extra days, as no exceptions can be made.
Is there a minimum stay requirement?
Yes. The minimum length of stay for summer internship housing is 3 weeks (21 nights).
What time is check-in and check-out?
Check-in will take place at 12:00 PM on your arrival day, and check-out is at 10:00 AM on your departure day. If you have additional questions, email summerhousing@menlo.edu
Where do I go to check in on my arrival day?
After booking, you will receive a confirmation email with all your stay details. When you arrive, just check in at the conference services office, and we will pull up your reservation and get your room key.
Additional Questions
Do I need to bring my own bedding and towels?
You are welcome to bring your own linens, or you can purchase a "Linen Set" for $25. This includes a fitted sheet, flat sheet, blanket, pillow, pillowcase, and towel for the duration of your stay.
Are a fridge and microwave provided in the rooms?
No. You can request a refrigerator/microwave combo when you reserve your room for $300, and the unit will be in your room upon move-in. Tip: Most interns add a fridge/microwave combo.
Do you have to pay for laundry services?
No. Laundry facilities are conveniently located in every residence hall, and their usage is included at no additional charge.
How are roommates assigned for double-occupancy rooms?
You may designate a specific roommate during the booking process, or our team can assist in pairing you with another intern of the same gender.
Employers and Groups
Do you offer housing for intern cohorts or corporate groups?
Yes. Employers can reserve blocks of rooms for their interns and receive a single invoice. Room assignments for groups are managed by Menlo Conference Services to keep your team together. Full payment for group blocks is due by April 22, 2026. Please contact summerhousing@menlo.edu for group inquiries.
